The letter, decoded

What your board’s letter asks you to do

Your board’s notice (the letter of September 1, 2026) asks every Club West resident to bring their fireplace in line with the association’s insurance requirements, based on that unit’s own inspection report. It sets two dates, then asks for paperwork.

  1. Step 1: by November 1, 2026

Tell the management office how you’ll proceed.

    Your step

You tell them. We’ll give you the words.

  2. Step 2: by April 15, 2027

    Have the work finished.

    Our step, once you choose

Our licensed installers do the work. We’ll give you the install time at your free visit.

  3. Step 3: Paperwork

Completion paperwork goes back to the management office.

    Our step, then yours

We give you our completion paperwork to return to the management office.

Ask the management office what paperwork it will accept. We’ll show you ours at your free visit, before you sign anything.

Step 1 takes about two minutes, and we’ll write the note with you. We handle steps 2 and 3.

The board’s five options

Your five options, in plain English

Your board’s notice lists five options. Here they are in its order, explained plainly. Your unit’s inspection report decides which ones fit.

Swipe sideways to see all five, or tap a number. With a keyboard, use the arrow keys.

  1. Option 1 of 5

    Cap off the gas

Ask us at your free visit

    What it means
A qualified gas professional turns off the gas to your fireplace for good and seals the pipe. The fireplace stays. It just no longer makes a fire.
    Who it suits
Owners who no longer use their fireplace.
    What we do
Bring your inspection report. We’ll tell you plainly, at your free visit, whether we can do this for your unit.

Not part of Club West pricing

  2. Option 2 of 5

    Direct-vent insert

    We sell and install these

    What it means
A sealed gas fireplace with a fixed glass front that slides into your opening. It takes its air from outside and sends its exhaust outside, through a liner up the old chimney.
    Who it suits
Owners who want to keep a real gas fire, with the exhaust going outside.
    What we do
We sell and install direct-vent inserts. It is one of our two Club West packages. We check your unit’s inspection report first, and your firebox (the opening where the fire burns).
  3. Option 3 of 5

    Ventless gas insert

We sell a vent-free log set, not an insert

    What it means
A gas firebox with no chimney venting. Its exhaust stays in the room.
    Who it suits
Owners who want a gas flame without chimney venting, where it is allowed.
    What we do

We don’t sell ventless inserts. Our ventless option is a vent-free gas log set, and a log set is not an insert.

Some towns restrict vent-free appliances, so we check the code for your address first. Your board or management office and your unit’s report decide if a log set is an option. We’ll check the report with you and can ask the office in writing.

  4. Option 4 of 5

    Electric

    We sell and install these

    What it means
An LED flame effect, with a built-in heater if you want one. No gas, no real flame, no fumes and no chimney.
    Who it suits
Owners who want the look of a fire with no gas. Where a chimney can’t be brought back into use, electric is often the answer.
    What we do
We sell and install electric fireplaces. Ask us about them at your free visit. If your fireplace has gas, ask the management office whether it must be capped too.

Not part of Club West pricing

  5. Option 5 of 5

    Maintain as previously used

    We inspect and service

    What it means
Keep your fireplace and use it as before. What that takes depends on your unit’s inspection report and the board. It may still mean cleaning or repairs.
    Who it suits
Owners whose report and board allow the fireplace to stay as it is.
    What we do
We service every make of gas log set, fireplace and insert, the brands we sell and the ones we don’t. Every inspection ends in a written report with photos.

Not part of Club West pricing

Club West pricing covers two packages: a direct-vent insert (option 2) and a vent-free gas log set, our ventless option. A log set is not an insert (see option 3).

Not sure which one fits your unit? Bring your inspection report, and we’ll go through it with you.

Club West packages

Two Club West packages, installed

We have two Club West packages: a direct-vent gas insert, which is on the board’s list, and a vent-free gas log set, our ventless option. A log set is not an insert, so the board or management office decides whether it is accepted. Each price covers the unit and its installation by our own team. Your inspection report and your firebox decide which one fits.

Package 1 · Board option: direct-vent insert

Gas fireplace insert

Real flames behind glass. We add a new chimney liner.

A sealed firebox with a fixed glass front that slides into your fireplace opening. A liner runs up the old chimney, so the fire takes its air from outside and sends its exhaust outside.

Good to know

Your board’s notice lists a “ventless gas insert.” We don’t sell a ventless insert. Our ventless option is this vent-free gas log set, and a log set is not an insert.

Whether it is accepted for your unit is up to the board or the management office, and your unit’s inspection report. We’ll check the report with you, and we can put the question to the management office in writing.

Some places restrict vent-free appliances, and the firebox must be rated for vent-free use. We check both before we quote.

Compare the two packages, side by side
The direct-vent gas insert and the vent-free gas log set, row by row
Question Direct-vent gas insert Vent-free gas log set
On the board’s list Yes. The list says “direct-vent insert.” The list says “ventless gas insert.” A log set is not an insert, so the board or the management office, and your inspection report, decide whether it is accepted.
What it is A sealed firebox with a fixed glass front, set into your fireplace opening. Gas logs on a burner in your existing firebox, with an open flame.
Air and exhaust Takes its air from outside and sends its exhaust outside. Uses the air in the room. The heat and the exhaust stay in the room. A safety sensor shuts the burner off if the oxygen in the room drops.
Chimney work The old chimney is inspected first, then lined and capped. No liner or chimney venting. The damper setting follows the set’s manual.
What we check first Your inspection report and your firebox. Before a new insert goes in, the national chimney safety standard (NFPA 211) calls for a closer, Level 2 inspection of the chimney. Whether your firebox is rated for vent-free use, your room size, local rules, the gas line and any permit.
Heat Depends on the model. We go through it at your free visit. Depends on the burner size. Building codes say a vent-free heater must not be the only source of heat in a home.

In short: have your unit serviced every year. Our own cover lasts as long as we make that yearly visit.

Equipment warranties run for the term the manufacturer sets and expect annual service; our own cover holds for as long as A Fireplace Store and More makes that yearly visit.

How it works

Four steps, from your call to your first fire

Working with A Fireplace Store and More takes four steps: you call us, we visit for free and put your price in writing, our own team installs, and we light your first fire with you. You also get our completion paperwork for the management office.

To the Club West Management Office

Re: The board’s fireplace notice of September 1, 2026

I am writing about the board’s notice of September 1, 2026. It asks residents to tell the management office by November 1, 2026 how they will proceed with the fireplace in their unit.

If you choose a direct-vent gas insert: I plan to have A Fireplace Store and More in Downers Grove review my unit’s inspection report with me and then install a direct-vent gas insert. I plan to have the work finished by April 15, 2027.

If you choose a vent-free gas log set: For the notice’s “ventless gas insert” option, I am considering a vent-free gas log set. A log set is not the same as an insert, so before I decide, please tell me in writing whether a vent-free gas log set would be accepted for my unit. I plan to have A Fireplace Store and More in Downers Grove review my unit’s inspection report with me. I plan to have the work finished by April 15, 2027.

If you are still deciding: I have not chosen an option yet. I plan to have A Fireplace Store and More in Downers Grove review my unit’s inspection report with me, and I will tell you my choice after that review. I plan to have the work finished by April 15, 2027.

The board’s notice asks for sign-off from a certified vendor. Please tell me in writing exactly which document or credential you will accept from my vendor, so I can check it before I sign anything.

Thank you. Please let me know if you need anything more from me.

Sincerely,

    Questions and answers

    Questions Club West residents ask

Short, plain answers about your board’s notice and our two Club West packages. Choose a question to read its answer.

Will the board accept a vent-free gas log set?

That decision belongs to your board and the management office. Your board’s notice lists a “ventless gas insert.” Our ventless option is a vent-free gas log set, and a log set is not an insert.

Some places restrict vent-free appliances, and the firebox must be rated for vent-free use. At your free visit we check your unit’s inspection report and firebox with you, and we can put the question to the management office in writing. If you would rather have a sealed unit, the direct-vent insert is our other Club West package.

What if my inspection report asks for something else?

Your board’s notice says each unit’s work follows that unit’s own inspection report, so the report comes first. Have it ready at your free visit, and we’ll go through it with you line by line.

If it calls for something other than our two Club West packages, we’ll tell you plainly whether it is work we do, and any quote we give you is in writing. If your unit has no report yet, ask us about an inspection. Every inspection ends in a written report with photos.

    Can I keep my mantel?

It depends on measurements. With a direct-vent insert, the original mantel and surround can stay when they meet the clearances in the insert’s installation manual. For the vent-free log set, we check your mantel against that set’s manual too.

We measure at your free visit. If anything around the fireplace has to change, it is written into your estimate before you sign.

What does “cap off the gas” involve?

A qualified gas professional shuts off the gas to your fireplace for good and seals the pipe, so no gas can come out. The fireplace stays; it just no longer makes a fire.

Ask us at your free visit whether we can do this for your unit.

Can the work be done before winter?

It depends on your unit and your inspection report. We’ll give you the install time at your free visit.

Before a new insert goes in, the national chimney safety standard (NFPA 211) calls for a closer, Level 2 inspection of the chimney. Your board’s notice asks you to tell the management office your plan by , and to have the work finished by .

    Can I spread the cost?

Ask the showroom about current payment options.

    What happens on install day?

Our installers do the work and clean up before they leave. Once it is in, we light it with you, show you the controls, and leave you set for the season.

How long it takes depends on your unit. We’ll give you the install time at your free visit.

    What paperwork do I get?

We give you written completion paperwork for the work we do. Your board’s notice asks for sign-off from a certified vendor. Our team includes a CSIA-certified technician. Please confirm with the management office what they will accept. We’ll show you our paperwork at your free visit so you can check before you sign anything.

Your written estimate lists everything the job needs. At handover you also get the manuals and the warranty registration.

    Still have a question?

Call us, or bring it to your free visit. If you leave a message, we call back within one business day.
